We are seeking an experienced, organised, and capable office administrator who thrives on creating a great team environment. To be successful in this role we are looking for someone with a minimum of 3 years proven office administration experience who can support our business support functions including health & safety, facilities, and front office management. You must have the ability to identify and respond to issues effectively and efficiently.

This role is often the first point of contact and the ability to maintain a professional and client focused attitude at all times is essential to the role. Maintaining a calm, efficient but friendly approach under pressure is essential. 

This is a permanent role based onsite in our Wellington Office.

Key Accountabilities will include, but not limited to:

Manage the reception area, greeting visitors in a welcoming and professional manner
Answering and directing phone calls, and responding to emails
Facilities coordination and support
Maintaining an organised office environment, and ensuring that all equipment and facilities are in good working order
Office admin tasks including – overseeing kitchen area, meeting areas; ordering of stationery and kitchen supplies; travel bookings
Admin support for the grants management information system Klevr Grants (MS Dynamics)(training will be provided)
Manage the security access and cards register
Be the Health and Safety coordinator for the Wellington Office
Be the liaison between the Wellington and Auckland Office based staff 
Other tasks as requested

Keys skills, attributes and experience include:

Proven office administration/support/facilities coordination experience (3+years)
Experience and knowledge of health and safety in an office environment (highly desirable)
Experience and good understanding of Microsoft Office applications including SharePoint and the ability to navigate tools with ease and efficiency
Understanding and experience working with databases desirable.
Strong self-motivation with excellent verbal and written communication skills
Attention to detail
Ability to take initiative and adapt in quick changing circumstances
Ability to multi-task, plan and prioritise tasks
Ability to manage relationships both internally and externally
A practical approach to problem solving
Team player with a positive, friendly and flexible attitude
Personal resilience and able to sustain energy levels and positivity.
Personal integrity, sound judgement and an honest and ethical approach
A commitment to a culture of equality, inclusion, and diversity and the Treaty of Waitangi
Have an understanding of the machinery of NZ government (desirable)
